Logistics Coordinator
The Logistics Coordinator volunteer will be instrumental in ensuring the smooth execution of Gala by managing all aspects of logistics. They will coordinate tasks and resources to facilitate the setup, operation, and teardown of the event.
Develop and maintain a comprehensive logistics plan outlining key tasks, timelines, and dependencies for the Gala, including setup, event day operations, and teardown.
Coordinate with venue staff, vendors, and service providers to secure necessary equipment, furniture, and supplies for the event, such as tables, chairs, audiovisual equipment, and catering services.
Oversee the setup and decoration of event spaces according to the predetermined floor plan and design specifications, ensuring that all elements are in place and meet safety and aesthetic standards.
Manage event-day logistics, including registration/check-in processes, flow of attendees, timing of activities, and coordination of volunteers and staff members.
Address any logistical issues or emergencies that may arise during the event promptly and effectively, collaborating with the appropriate team members to find solutions and minimise disruptions.
Supervise the teardown and cleanup process post-event, ensuring that all equipment, decorations, and waste are removed from the venue in a timely manner and that the space is returned to its original condition.
Work closely with the Sparkle team throughout the pre-and-post-event periods.
The volunteer will be expected to commit approximately 5 hours per week to the role in the 6 months leading up to the gala, and 2 hours a week to the role in the 1 month following the gala. They must also be available on the night of the gala.
